From phone call to booked pickup: the steps an AI phone agent follows

An example AI phone agent for a made-up sweets maker, step by step. What it does on each call, the tools it uses, and where your team steps in.

  • Example · sample data

This workflow follows our AI phone agent example. It runs on sample data for Kaveri Foods, a made-up sweets and snacks maker in Pune. In the example, a customer called Rohit rings at 9:47 pm, after the shop has closed, to pick up an order the next day.

An AI phone agent is not there to replace your team. It answers when nobody can, books the simple things inside rules you set, writes everything down, and hands the rest to a person.

The steps

  1. The call comes in

    Your phone line

After hours, or when every line is busy, calls forward to the agent. During the day your team answers as usual. Your customers keep calling the number they already know.

    Uses
    • Your business number
    • Call forwarding
  2. It greets the caller and says it's an AI

    The agent

It answers in your business's name and says plainly that it's an AI assistant. The caller can ask for a person at any point.

    Uses
    • Voice AI
    • Your greeting
  3. It finds out what the caller needs

    The agent

Rohit says he'd like two boxes of kaju katli for pickup tomorrow evening. The agent checks it has understood: the item, how many, and when.

    Uses
    • Speech to text
    • Your list of common requests
  4. It checks what's possible

    The agent

It looks at your list and your pickup times, and only offers what your rules allow. If the shop opens at 10 am, it won't offer 9 am.

    Uses
    • Your product and price list
    • The pickup calendar
  5. It books the slot and reads it back

    The agent

It holds a free slot, then reads the booking back: the items, the price, the time, and the caller's name and number. Rohit says yes, and the slot is his.

    Uses
    • The pickup calendar
  6. It writes down the lead

    The agent

Every call is logged, booked or not: who called, when, what they asked for and what happened. No one has to remember to write it down.

    Uses
    • Your order or lead sheet
    • A call summary
  7. The team gets a summary on WhatsApp

    The agent

A short message lands in your team's WhatsApp: the caller, the order, the slot and a link to the full record.

    Uses
    • WhatsApp to your team
  8. Your team approves, changes or takes over

    Your team

In the morning, someone checks the night's bookings. They can confirm a booking, change it, or call the customer back. The agent never books anything outside your rules. Those calls wait here, marked for a call back.

    Uses
    • WhatsApp
    • The dashboard

When it hands over to a person

You set the rules. For example, it hands over when:

  • the caller asks for a person;
  • it's a complaint or a problem with an order;
  • the order is large, custom or outside your normal list;
  • the agent hasn't understood after two tries.

During working hours, a handover can mean transferring the call to your team. After hours, it means taking a message and booking a call back first thing.

What you'd need to run one

  • A business phone number that can forward calls.
  • Your product list, prices and pickup or appointment times.
  • A clear list of what the agent may book, and what it must hand over.
  • The people who should get the summaries.

Which languages it speaks depends on the voice service it runs on. We'd check the ones your callers use, such as Hindi or Marathi, before we quote.

What stays yours

The code, the call records and the customer data are yours at handover. It can run on accounts in your name, or on our hosting, and you can move it at any time. If you want to see it working, watch the AI phone agent example.
